Database Development and Formatting

Now that you have planned the fields you need for the two tables and determined the relationship between them, use the checklist below to build the database in Access and create the required components. You need to ensure that the database includes all of the checklist entries.

Database Creation Open a new Access database, then save it as Access2010_Database_[Company Name]_[Last Name], replacing “Company Name” with your company name (for example, “Big Stars Agency”) and “Last Name” with your last name; for example, Access2010_Database_BigStarsAgency_Sanchez.  
Table 1 Creation Create the Agent Table, and then in Design view, list the following fields:
·         Agent ID
·         First Name
·         Last Name
·         Phone Number
·         Percentage
Add a minimum of 2 additional fields of your choice when planning your database.

Creation
Create the Athletes Table (or Artists Table), and then in Design View list the following fields:
·         Athlete ID (or Artist ID)
·         First Name
·         Last Name
·         Category
·         Annual Pay
·         Agent
Add a minimum of 2 additional fields of your choice when planning your database.
 
Lookup Field Create a Lookup field for the Category field as follows:
1.      Click the Category list.
2.      Click More Fields in Add & Delete group on the Fields tab.
3.      Click Lookup & Relationship, then click the I will type in the values that I want option button.
4.      Click Next, press [Tab], then enter at least four categories appropriate to your table. For example, categories for the Athletes table could be Football, Hockey, Basketball, and Baseball.
5.      Complete the Wizard.
 
Data Type: Currency From the Fields tab, change the data type for the Annual Pay field to Currency, then select appropriate data types for any other fields that require them (for example, Number, Yes/No, Date/Time), then close and save the table.  
Data Type: Number Switch to Design view,make the Percentage field a Number field, and then change the Format to Percent and the Field Size to Single.  
Field Properties for both tables Modify the field properties such as field sizes, captions, format, etc. as needed.  
Description for all fields Add notes in the description column about any fields that need additional explanation.   
Data Entry Enter a minimum of five records in the Agents table, then enter ten records in the Athletes [Artists] table. Note that you need to enter the data into the Agents table first so that you can select an Agent name for each record in the Athletes/Artists table.  
Expanding the Subdatasheet In the Agents table, click the Expand button next to any agent to view the list of athletes or artists he/ she handles. Verify that every agent handles at least one athlete/artist and some agents handle at least 2-3 athletes/artists. Make adjustments to the data if necessary.  
Filter by Selection In the Athletes/Artists table, use the Filter by Selection function to show only those records with a category of your choice (for example, all the Baseball players), then remove the filter.  
Add a Total Row Add a total row to the Athletes/Artists table and then calculate the total Annual Pay for all the people entered in the table. Widen the Annual Pay column if necessary.  
Create a Form from a Table Create a form for the Athletes/Artists table and then apply the AutoFormat of your choice.  
Align labels Bold and right-align all the labels in the form.  
Add records to form Use the form to add an additional three records to the Athletes/Artists table.  
Simple Query Wizard Use the Simple Query Wizard to create a query that lists only those Athletes/Artists who make over an amount of your choice (e.g., Annual Pay >$10,000). Save the query as High Pay.  
Sort In the Athletes/Artists table, sort all the records alphabetically by last name.  
Query for
Totals
Create a query that shows the total amount of money made by each agent. Follow these steps:
1.      Click the Create table.
2.      Click the Query Wizard button, click Simple Query Wizard, click OK, choose the Agents table, then select the Last Name, First Name, and Percentage fields.
3.      Choose the Athletes/Artists table, then select the Annual Pay field.
4.      Click Next, then click the Summary option button.
5.      Click Summary Options, click the Sum check box, then click OK.
6.      Click Next, name the query Agent Pay, then click Finish.
 
Query Design Create 2 unique queries of your design using the Query Design option under the Create tab.  
Format a
Report
1.      In Report Design view, modify the format of the Agent Pay values: Right-click the text box containing the formula, click Properties, click the blank cell next to Format, then select Currency.
2.      In Report Layout view, adjust the positions of the columns so that the completed report is clear and easy to read. Shown below is a sample report.
